The Publishing Assistant will provide executive support for the VP, Print and Digital Publishing by assisting in the day-to-day function of the publishing department. This involves ensuring effective, efficient operations and supporting the development and implementation of new initiatives. The selected candidate will have strong computer and organizational skills along with excellent communication skills both verbal and written. He or she must have a professional in-person and telephone demeanor when interacting with both internal and external contacts.



  • Maintain VP’s calendar, including scheduling meetings, contact database, answer phone, screen calls and take messages where needed.
  • Prepare responses to correspondence containing routine inquiries and redirect to customer service where needed.
  • Sort and distribute incoming mail and correspondence.
  • Coordinate business travel and reservations as needed.
  • Maintain departmental attendance calendar.
  • Coordinate expense reports and corporate credit card accounts for VP and Directors.
  • Conduct research using paid and web market research services.
  • Work with marketing coordinator to prepare weekly report covering sales, renewals, and returns.
  • File updates to loose-leaf publications for in-house copies.
  • Prepare outgoing mail, packages and parcels for delivery via Fedex or messenger.
  • Maintain office supplies for department.
  • Relieve PLI’s Receptionist for lunch hour every day and pitch in to cover main reception desk on an as needed basis.
  • Interact with internal and external executives and assistants, as well as consultants on behalf of publishing department as necessary.
    • Prepare electronic and paper files of important correspondence and other documents.
    • Attend weekly production meeting and provide meeting minutes to department.
    • Maintains contact with entire department to support smooth workflow and ongoing follow up.
    • Greet all office visitors and alert VP, Print and Digital Publishing of their arrival.
  • Other duties, as assigned.



  • B.A. or B.S. undergraduate degree from an accredited college or university.
  • At least two (2) years of administrative support experience.
  • Excellent computer skills with knowledge of various software programs, including Microsoft Office.
  • Knowledge of Salesforce desired.
  • Excellent interpersonal and communications skills; good listener.
  • Ability to take direction and seek guidance from the Vice President, Directors and Managers from department.
  • Exercises excellent judgment in a variety of situations.
  • Must be focused, organized, and possess superior attention to detail.
  • Must maintain strict confidentiality.
  • Positive, willing attitude; collaborative work style.
  • Willingness to ask questions in order to learn or to confirm understanding.
  • Ability to adapt to changing priorities, if and when they occur, and to multi-task among assignments.
  • Polished, professional demeanor is critical.
