Practising Law Institute (PLI) is searching for a Administrative Manager, IT in our New York office. Reporting to the CIO, grow your career and manage the administrative processes within the IT department.   For more than 80 years, PLI has served the legal community with innovative products and quality programming, building a sterling reputation spanning the country.   Your responsibilities as Administrative Manager, IT: - Develop, monitor and maintain annual budgets, working with the CIO, IT department managers and various accounting personnel. Monitor flow of invoices, contracts, and Statements of Work to ensure they are in line with proposed budgets. - Manage Purchase Order, invoicing, and payment processes. Coordinate with Accounting to ensure appropriate accruals and tracking to budget. - Facilitate the development and processing of contracts, agreements and Statements of Work, liaising with consultants, vendors and legal counsel to ensure accuracy, adequacy, and timely processing. - Monitor, track, maintain, and manage recurring annual obligations, including contracts, security and system certificates, auto-renewing agreements, and security certifications. Ensure timely renewals or cancellations, as appropriate. Practising Law Institute (PLI) is searching for an Assistant Controller in our New York office. Reporting to the Controller, grow your career and help oversee the day-to-day management of the accounting department.   For more than 80 years, PLI has served the legal community with innovative products and quality programming, building a sterling reputation spanning the country.   Your responsibilities as Assistant Controller:   - Maintains general ledger and subsidiary ledgers in NetSuite and Adaptive Insights/Office Connect systems. - Supervises the month-end CLOSE procedures and works with the Controller on the issuance of monthly Financial Statement Package. - Works with Controller to provide outside auditors with various year-end reports and account analyses; follows up with auditors regarding selections and subsequent requests for support and explanation. - Conducts final review and approval of biweekly payroll prepared by payroll administrator; reviews Form 941, approves W-2 reporting at year-end, and various other payroll reports as needed. Approves timesheets for direct reports. - Supervises the completion of Form 990 and Form 990-T, the organization’s informational tax return, and Form 5500. Works with Controller and outside tax consultants to meet filling deadlines. - Reviews the inventory allowances and the preparation of bi-annual author royalty payments and works with Controller on conducting the annual Physical Inventory Count and the Annual Physical Inventory Disposal. - Reviews the weekly AP voucher and the GL coding of invoices before submitting to CFO/Controller for approval. Reviews and approves the issuance of 1099 Forms. - Approves e-payments on the JPMorgan Access platform for release by Controller or CFO; maintains appropriate authorization levels for staff members assigned to initiate bank transactions and prepare bank account reconciliations. - Reviews the monthly filing of Sales Tax in multiple US jurisdictions. Works with outside tax consultants in reviewing and maintaining our products and related product codes. - Supports Controller in the Budgeting Process; responsible for the development of the organization’s Personnel Budget. - Manages a team of 5-8 staff members; prepares staff evaluations and conducts staff meetings to review work performance with each staff member under supervision. Oversees employee relations for direct reports. - Assists Controller in the completion of special projects as needed.   Qualified candidates will have: - Bachelor’s degree in Accounting required; CPA preferred. - 5 to 8 years of relevant, managerial experience required. Previous experience working in nonprofit industry a plus. - Experience with payroll processing and payroll systems required; familiarity with ADP or similar HRIS/payroll system preferred. - Excellent computer skills with knowledge of MS Office, accounting software and various other software programs. Grow your career and help us to prioritize IT activities to support PLI business operations.   For more than 80 years, PLI has served the legal community with innovative products and quality programming, building a sterling reputation spanning the country   Your responsibilities as Application Support Analyst - Investigate, analyze, and prioritize activities to support PLI business operations including PLI’s websites and business applications (examples of our business applications include Salesforce and NetSuite). - Continually monitor, categorize, prioritize, troubleshoot, and resolve application issues. - Respond to application support requests using the Helpdesk software including telephone calls, emails, and personnel requests. Expect to resolve less complex problems immediately while working with other teammates to resolve more complex problems. - Coordinate with help desk and application support resources (particularly Business Analysts, Project Managers and Software Engineers) to ensure support requests are addressed in a timely fashion that keeps internal users informed about ticket progress and resolution. This includes escalation of follow-up communications and resolutions based on priority and length of time that the ticket is open; negotiation and communication to ticket requestors as required. - Document business processes, defects, and application support resolutions. Create and maintain reports related to application support. - Analyze and evaluate the needs of stakeholders, and accordingly, any products, services, systems, processes, or workflows affected by those needs. - Manage application enhancement requests and issues, ensuring that items are addressed or routed to product backlogs, ensuring that nothing gets "missed" in a fast-paced environment where priorities can change daily. - Coordinate closely with DevOps team to support continuous delivery. - Conduct quality assurance to validate working/viable software. Perform regression tests and participate in Integration Testing and User Acceptance Testing (UAT). - Other duties as assigned.   Qualified candidates will have: - 3 - 5 years IT/IS business operations and helpdesk experience - Bachelor’s degree in Information Technology or a related field highly preferred. - Clear communicator - This resource can manage expectations and deliver bad news with aplomb and care, even when the answer is 'no'. Ability to communicate requirements in a clear manner which can be easily interpreted. - Proactive customer orientation. This position requires previous experience working in an agile environment along with the ability to build and maintain software applications that will support PLI business initiatives.
